Who is responsible
AION CLOUD S.A.S., Colombian tax ID (NIT) 902034952-5, with its principal place of business in Cali, Colombia (“we”), is the controller of the personal data collected through ai-oncloud.com and our contact channels. For anything related to your data, write to laura.torres@ai-oncloud.com with the subject “Personal data”.
Legal framework
This policy applies Law 1581 of 2012, Decree 1377 of 2013 (compiled in Decree 1074 of 2015) and the rules that complement or amend them. When we process data of people located outside Colombia, we also apply, where relevant, the data protection legislation of their country and principles equivalent to those of the European Union's General Data Protection Regulation: lawfulness, purpose limitation, freedom, accuracy, transparency, restricted access, security and confidentiality.
What data we collect
Only what we need to help you:
- Contact form: name, email address, purpose of the inquiry, message and, if you provide them, company and role; plus the date and the page you wrote from.
- Direct email: the data you include in your message.
- Browsing: this site uses no tracking cookies or analytics tools. It stores only the language you choose in your browser (local storage). Our hosting provider records technical data (IP address, browser type, date and time) in its security logs.
- We do not request sensitive data or data from minors. If we receive it by mistake, we delete it.
What we use it for
We process your data for these purposes:
- Answering your request and following up on it.
- Preparing proposals and managing the business and contractual relationship, if any.
- Meeting legal, accounting and tax obligations.
- Handling inquiries, complaints and claims about your data.
- Improving the site and our services using aggregated information that does not identify you.
Authorization
By submitting the form and ticking the authorization box you give us your prior, express and informed consent to process your data for the purposes described. When you email us directly, we understand that you authorize the processing needed to handle your message. We will only send you commercial communications if you authorize them, and you can withdraw that authorization at any time. We do not sell your data or hand it to third parties for their own marketing.
Who we share it with
We use providers that process data on our behalf and under our instructions: website hosting (Hostinger) and email and work tools (Google Workspace). These providers may store information on servers outside Colombia, in countries with an adequate level of protection or under contracts that guarantee the same conditions as this policy. We only hand data to authorities when a law or a court order requires it.
Your rights
As the owner of your data you can, at any time and free of charge:
- Know, update and correct your data.
- Request proof of the authorization you gave us.
- Be informed about how we have used it.
- Revoke the authorization and request deletion of your data, when no legal or contractual duty requires us to keep it.
- File complaints with Colombia's Superintendence of Industry and Commerce (SIC) for breaches of the law.
How to exercise them
Write to laura.torres@ai-oncloud.com with your name, the email you contacted us from and what you need. Inquiries are answered within ten (10) business days; if that is not possible, we let you know and reply within the following five (5) business days. Claims are resolved within fifteen (15) business days, extendable by eight (8) more with prior notice. If a claim arrives incomplete, we ask you to complete it within the following five (5) days; after two (2) months without a reply, it is considered withdrawn.
How long we keep it
We keep your data for as long as the relationship that motivated its collection lasts and for the time required by legal, accounting or contractual obligations. Data from contacts with whom no relationship was formalized is deleted two (2) years after the last interaction, unless you ask us to delete it earlier.
Security
We apply reasonable technical and administrative measures to prevent unauthorized access, loss or alteration of your data: encryption in transit (HTTPS), access restricted to the people who handle requests, and providers with recognized security certifications. No method is infallible; if an incident affecting your data occurred, we would notify you and report it to the authority when the law requires it.
Cookies and local storage
The site installs no third-party or tracking cookies. It stores a single preference in your browser's local storage (“aion-language”), which remembers the chosen language and can be cleared from your browser settings. If we add analytics tools in the future, we will update this policy and ask for your consent when the law requires it.
Changes to this policy
We will publish the current version here with its date. If a change substantially affects the purposes or conditions of processing, we will inform data owners through the available contact channels before applying it.
